Receptionist/Administrative Assistant

Mechanical Resource Group is an HVAC, hydronics, sales, and service organization serving Middle Tennessee. We combine resources of the most experienced HVAC and hydronics engineers and the top manufacturers with a mission of service. We are looking for an Administrative Assistant/Receptionist to join our growing team. The right candidate will share MRG’s core values of being an industry leader committed to excellence, have a servant heart and will be committed to personal and professional growth. This position is highly regarded as the ambassador and liaison for our employees, clients and vendors.

Primary responsibilities include:

Answer phones, direct/screen calls, take accurate messages, research/assist with customer needs when necessary, handle routine matters and present a positive, professional image of self and company in all matters

  • Greet visitors in professional, hospitable manner; develop and foster harmonious relationships with other departments, clients, vendors
  • Manage executive and MRG office Outlook calendars, conference room schedules, keep front office tidy for visitors
  • Comfortable performing clerical duties, as needed-able to organize and manage files, tasks, schedules and information, maintain confidentiality
  • Self-directed and able to work without supervision
  • Manage office/building needs: Security system, maintain Honeywell keyless entry system, electrical, janitorial, coffee/water deliveries, order office supplies, snacks/water, other
  • Send/receive/distribute mail, record checks received on Excel spreadsheet
  • Provide W-9’s, RSL tax certificates, run credit checks, set up customers/vendors in QuickBooks and coordinate such with Service division
  • Copy, distribute credit card statement, input expenses for executives
  • Coordinate travel arrangements: flights, hotels, rental cars, charter bus, registration for events
  • Assume responsibility for AV equipment (one overhead projector), reception area monitor, copiers, printers, etc. Help others with related issues.
  • Maintain employee gifts-birthday/MRG anniversary addresses/cards/gift cards, sympathy, hospital, new baby, etc. Also, vendor/client gifts when warranted.
  • Coordinate meals/setup/cleanup: Symposiums, quarterly meetings, vendor showcase, sales/training meetings, coordinate annual sales trip (ASCA), etc. (mostly onsite and occasionally offsite), company socials

Requirements and Qualifications:

  • Three to five years’ prior experience in mid-senior level administrative experience
  • Bachelor/Associate degree preferred
  • Excellent written and verbal skills
  • Excellent time management and prioritization skills, able to multi-task
  • Proficient computer skills, including Microsoft Office-Word, Excel, PowerPoint, Outlook; familiarity with QuickBooks a plus
  • Professional attitude and ability to work independently and as a team

Service Technician

We’re looking for Service Technicians who will be responsible for troubleshooting, diagnosing, repairing, and maintaining large commercial and industrial HVAC systems.  

You’ll be traveling to job sites in our service area and work with dispatch to ensure schedules are maintained.  Duties include startup of installed equipment, complete required documentation, record recommendations and repairs. 

This role requires:

  • 3-5 years of experience in maintenance and troubleshooting HVAC services issues or at least 3 years performing maintenance on your own for a company.
  • good analytical skills and attention to detail
  • Excellent customer service skills
  • Ability to work independently in a timely manner
  • Strong problem solving and communication skills, both oral and written
  • Valid TN State driver’s license and safe driving record.
